Consulting Invoice Template

Consulting invoices tend to raise one question clients ask more than any other: what, exactly, did this cover? A good consulting invoice answers that before anyone has to ask.

What belongs on it

  • Reference to the engagement — the statement of work, proposal, or retainer agreement this invoice is billing against. A line like “Per SOW dated [date]” or a PO number removes ambiguity about what work this is for
  • The billing period, if you’re invoicing monthly or against a retainer — “September 2026 retainer” is clearer than a line item with no time context
  • Deliverables or milestones, not just hours, if your engagement is milestone-based rather than hourly — “Phase 1: Discovery & Strategy — Complete” reads very differently from a bare dollar figure
  • Your rate structure, stated plainly if it’s not flat — day rate, hourly, or a blended rate for different types of work
  • A payment method your client’s accounts-payable team can act on without emailing you back — wire details, an e-transfer email, or a payment link

Common mistakes

Billing a retainer with no description of what the retainer covers. Even a recurring flat-fee invoice benefits from a one-line reminder of scope — it’s the difference between a client renewing without thinking and a client wondering what they’re paying for.

No distinction between billable and non-billable time, if that distinction exists in your agreement. If travel time or admin time is billed differently (or not at all), make that visible on the invoice rather than folding it into one number.

Skipping the engagement reference entirely. For larger consulting relationships with multiple concurrent projects, an invoice with no SOW/PO reference can sit in someone’s inbox for days while they figure out which budget it’s supposed to come from.
